Team Chair Roles for Events 2026  

Thank you for volunteering! Please take ownership of your area. We like to designate 1-2 people for each chair and co-chair roles, to ensure coverage if someone is unavailable. Stuff happens and people get sick, family emergency, etc. Backup is needed so roles can be filled during the weekend. Anyone receiving event compensation must have an assigned role. If you can not complete your role, please recruit another helper from the team if possible or let the chairs know.
Conference Chair Roles:  

  • Conference Chairs: Diana Malas, Kathy McDonald
  • Vendor Chairs: Austin Miller and Tom Borgman
  • Field Trip Chairs: Debbie Karr and Nikki Tempus
  • Volunteer Chairs – Volunteer Task List: Teri Gilligan and Cathy Plum
    A print-out of the task list from Teri will be at the registration desk during the weekend.  
  • Silent Auction Chairs: Cathy Plum and Teri and Ned.
    Cathy Plum is the lead. May need to visit vendors to get auction items. Solicit items from other sources.
  • Onsite Registration Desk Chairs (rotating):
    Penny Borgman, Jennie Hefren, Michele Martin Hisnay, Teri Gilligan (task list) Cheryl Vargas.
    Welcome and answer questions, greet the public during the Saturday sale. Sell merchandise, securing cash with employees at the Bergamo desk, keeping merchandise covered and cash in the safe when unattended, delivering speaker gifts from Ann to Roncalli for keynotes. Close the desk during keynotes, make sure a sign indicates when it will re-open. Make sure all breakout sessions and afternoon speakers have a volunteer assigned to introduce them and keep time.

Registration Desk - Friday & Saturday

  • Assist at the desk from the time registration opens until dinner.

  • Assist the registration desk until noon.

Friday Field Trips and Programs

Indoor Programs: Friday and Saturday indoor programs require someone to be present in the room during the program to introduce the speaker and ensure the session ends on time.

Outdoor walks: Walks on the grounds Friday and Saturday are only at Bergamo and require someone to be present at the designated meeting place (usually the front or side entrance of the center) to hold a sign with the trip number so that attendees can easily find the trip listed on their badge.  This helps the leaders focus on gathering the group and getting started on time.

Native Plant & Artisan Sale Saturday

  • Work with Austin and Tom to determine needs during setup / outdoors.

  • Work with Austin to monitor and direct traffic.

  • Staff the outdoor plant pickup table on Saturday. Can recruit outside of team.
